Some files are not independent policies, but also are not associated with a parent document. In PolicyStat, these files can become stand-alone attachments called "stub" policies. For example, Excel forms or log sheets, form letters or memos in Word or PDF format, PowerPoint presentations, etc. would be considered stub policies.
When a user clicks a stub policy, the content of the policy reads simply: “Please see the attached file last updated on dd/mm/year.” The reason for the date is so that when the attached file is changed/replaced, it will record a change in content. This is required to trigger recurring acknowledgment assignments and to update the Last Revised date in the document header.
- Click the Policies tab and select the desired policy template under New Draft from Template.
- Select an article template, if applicable.
2. Scroll to the attachments section.
3. Click Choose.
4. Select a document and click Open.
5. Click Upload.
6. Fill in the title of the attachment.
7. In the Policy Body section, type “Please see the attached file last updated on dd/mm/year” or similar content.
8. From the Policy Properties tab, select the Owner, Area, and Approval Workflow.
9. Click Start Approvals.
Once the policy is approved by all users in the workflow, it completes the approval process and the stub will be active and visible for all users.
