Comments and Collaboration
While a policy is undergoing a review, members of the Workflow can discuss potential changes, references, regulations, and other items of interest internal to PolicyStat.
Previous to PolicyStat, these discussions may have involved lengthy email chains and multiple versions of the file. The discussion likely required additional work ensuring all necessary parties were included and all emails contained the latest version of the file.
PolicyStat brings the discussion inside PolicyStat and keeps historical records of the discussion to ensure everyone stays informed and current.
Comment Visibility
Users who have completed their approval and invited collaborators will be sent email notifications informing that a comment has been left on the Pending policy. Users who still need to mark their approval will not receive a comment notification until it is their turn to approve. If they need to receive a comment notification earlier they can be @mentioned in the comment to be invited to receive ongoing comments.
Area Managers, Site Administrators, and users who have already approved the policy will not receive a notification about the comment unless they appear later in the Approval Workflow.
Note: For collaborators that have been @mentioned on a pending policy that also need to be involved with the editing of the draft, they must be separately @mentioned on the draft in order to receive notification of comments on the draft.
This is meant to reduce the policy editor/SMEs notifications going out to everyone on the approval workflow that normally don't need to be involved with the editing.
