Objective
To set specific permissions for a user to access and/or perform tasks within PolicyStat.
Environment
PolicyStat
Procedure
- Navigate to the Admin Console from the Manage menu in the top navigation.
- Locate Users from the Site Data list.
- For the selected user, click the Edit link at the end of the table.
- Click the Permissions tab.
- Adjust permissions for the user as needed. Permissions can be assigned and adjusted based on Area or for Site-Wide access. Permissions can also be set for each Applicability group. Rights-based on permissions are as follows:
- Can View Restricted Policies: Users can view policies marked as restricted, which are otherwise not visible to general users.
- Can Create and Edit Policies: Users can create and edit their own policies within the selected Area (or site). (Area Editor)
- Can Create, Edit, and Manage Policies: Users can create and edit any policy within the selected Area (or site). They also receive reports of all expiring policies in their Area (or site) and have the ability to view and edit all pending policies in their assigned realm. (Area Manager)
- Can Create, Edit, Manage and Override Policies: Users can create and edit any policy within the selected Area (or site). They also receive reports of all expiring policies in their Area (or site) and have the ability to view, edit, and override all pending policies in their assigned realm. (Area Administrator)
- Permissions for the Site-Wide access contains the additional option to Administer Site. This provides the user full access to the Administrator Menu and all related permissions. This is considered a Site Administrator role. You may also see multiple Applicability Groups listed. You will use this step to assign permissions for each applicability.
- NOTE: The Site-Wide Permission selection takes priority over any of the checkboxes below that selection. With Site-Wide Permission, permissions are given for all areas.
- Click the Save Permissions Changes button.
Setting User Permissions Across Sites
If your site is part of a system, your users may have access to more than one site. To assign permissions across the sites:
- Click the dropdown to select the site.
- Assign permissions as detailed above.

Not finding the user you need?
Click the ALL USERS link at the bottom of the User Search page to see all the users from the sites connected to your own, then you can edit and change any of the permissions for those users allowing them to have the desired permissions on your site. Users only need one account, not an account on each site to have access.

Users can only view pending and draft documents in areas they have permissions to Edit.
A quick disclaimer that some terms may differ for your location, but the concepts are universal. Area may be known as Policy Area, Department, Category, or another term on your PolicyStat site.
