Users can generate PDF copies of policy documents and email links to those PDFs to any other users, regardless if they have access to PolicyStat or not.
The top right corner of any policy document features two links: Print (1) and Share (2).
Each link generates a PDF version of the document, but each functions a little differently.
The Print link generates a PDF version of the policy document. This PDF can be saved to your local machine, printed or distributed just the same as any other PDF file.
- Site Administrators can choose to include a watermark and History as well. All other users do not have these options. The watermark is on by default and the History is off by default.
By default, these PDFs will contain:
- A COPY watermark across the middle.
- A footer containing:
- Document title
- Date of retrieval of the source file
- A URL link to where the original source file can be found
- Page Numbering
- Copyright Information
Printing and Saving
Typically the PDF can be printed by right-clicking while hovering over the generated PDF and saving can be done by clicking Save As from the same right-click menu or clicking the disc icon. Depending on the application/browser you are using to view the PDF these functions may be a bit different.
Share
There are multiple options for sharing a document.
- Guest Access link (only seen by site administrators).
- Email PDF (this will open to the default email client).
- RSS feed - Allows staying up to date on new and revised versions of documents.
- Read-Only Sharing link - PDF view only - no additional browsing allowed.
- Additionally, each document has its own unique website address (URL) that can be copy/pasted from the browser to share with others or to be bookmarked. It will require a login to access it.
Owner/Editor/Approver View - No access to Guest Access links
Site Administrator View - Access to all share options
Site Administrator View - Multiple Read-Only Share links created
