How do I replace or rename an existing PDF, image, or other attachment?

Renaming Attachments

Renaming an attachment for any reason (e.g. uploaded with the original name, date/version update, misspelling, etc.) is incredibly simple in PolicyStat.

1. Open a draft version of the policy in the Editor
2. Locate the attachment in need of updating in the Attachments section.
3. Enter a new name for the attachment in the associated field.
4. Click the corresponding Rename button.

Replacing Attachments

Attachments may periodically need content updates or other changes. Replacing an attachment first requires that it is removed from the document.

1. Open a draft version of the policy in the Editor
2. Locate the attachment in need of updating in the Attachments section.
3. Click the corresponding Delete button (trashcan) to delete the attachment.
4. Click the Choose button in the Attachments section to locate an attach a new file that will server as the attachment.
5. Rename the file as necessary

Additional Information

Attachment Naming Scheme

If uploading multiple attachments, it may be helpful to list them in a particular order. A consistent naming scheme will help attachments appear in the correct order. To do this, you may want to use an A, B, C or 1, 2, 3 at the beginning of the attachment title as the attachments automatically are sorted alphabetically and/or in numerical order.

Attachment File Limitations

• Any file type can be added as an attachment, but individual file sizes are limited to 20 MB each.
• There are no limits to the number of files added to a policy as attachments.

Attachment Links

Attachment links can be used outside of PolicyStat and are valid indefinitely. However, the attachment link is associated with the file used when the link was created. If an attachment file is replaced, the attachment link will still go to the version of the file used when the link was created. Therefore, users should be wary of keeping attachment links since the content could be outdated. 

*** IMPORTANT NOTE:  If an attachment link is inserted in the body of a document as a hyperlink it will exist as an attachment until the link is removed. The link will need to be removed/deactivated to be able to remove the attachment. If the attachment is removed but the link persists the attachment file will again be recreated.
