Content
During a review, changes can be made to a policies properties as well as the content of the policy.
Policy Properties
While it is unlikely you will need to make changes to the properties when starting a review, any of the following settings can be modified. Just like the policy content, the changes will be reflect on the Active version when it completes the approval workflow.
-
Title: The name of your document. This field will appear in the heading of the Active version and is an option for filtering search results.
- Using the duplicate checker link below the title field will help avoid creating policies that may already exist.
- Owner: The Owner is the PolicyStat user assigned as responsible for the document.
- Area: Areas represent categories of similar documents within PolicyStat. Often these reflect the real life departments at your facility, but that is not a requirement.
- Approval Workflow: Approval Workflows represent the sequence of users who review, edit, and approve a given document as required by the assigned revision period or edits.
-
Applicability Group: If your site is part of a system, you will need to select the group of sites to which this policy will apply. The options available here will vary based on your permissions.
- Note: this field will not display if your site is not part of a system of sites.
-
Review Date: The Review date represents the date when the existing policy must proceed through an Approval Workflow or it will expire. This can either be represented by either a set number of days or by setting a specific date.
- Often the number of days until review is automatically assigned based on a default value determined by the Area. This can be modified on a policy-by-policy basis, but most policies use the default.
Policy Content
When working within the PolicyStat Editor to create content, you’ll find many similarities to working in Microsoft Word.
Functionality | PolicyStat Editor | Microsoft Word | Keyboard | Toolbar |
Add new text | yes | yes | place cursor, type
Delete text | yes | yes | backspace/delete
Bold formatting | yes | yes | Ctrl+B
Italic Formatting | yes | yes | Ctrl+I
Undo/Redo | yes | yes | Ctrl+Z / Ctrl+Y
Key Differences
The PolicyStat Editor is web-based and has a few noticeable differences from Microsoft Word. We will dig deeper into these features in later sections.
- Within the PolicyStat Editor, text is captured inside text boxes. Word has no visible lined boxes, but the actual experience of entering text is the same as what you would experience in PolicyStat. The final output does not display the text boxes.
- Fonts within PolicyStat are restricted to one style and color, and no alternative fonts are allowed. This is a deliberate design decision to ensure a consistent look and feel across all policies on your site.
- One final difference is that images need to first be uploaded as attachments before they can be placed inside the content. This is because our Editor is web-based, so images and other files will need to be stored online as attachments. Once they are attached, images can be inserted into the content.
