Issue
Need to include an image a policy
Environment
PolicyStat Editor
Resolution
Some policies require images to display charts, diagrams, procedures, and other graphics. Images can first be added as attachments to the policy, then inserted at the desired location within the content. Alternatively, if an image is already available online (e.g. - has a web address where it can be viewed over the Internet), it can be inserted within the content.
Upload and Insert An Image
- To upload an attachment to a policy, click the Edit link in the bar on the top left of the policy.
- Locate the Attachments tab on the Edit Draft sidebar. Begin by selecting Choose to browse for the image. When ready to upload, click Upload.
ATTENTION: ONLY image file types can be inserted into a document such as .PNG or .JPG. An image in a PDF file must be converted into an image file and then attached into PolicyStat to be able to be inserted into a document. To capture the image from a PDF and save it as an image file follow these instructions. - Once the file is uploaded and attached, place the cursor where the image should be placed within the content of the document.
- Return to the Attachments section of the document and click the Insert Image button next to the attachment name.
- The image is now a part of the policy.
Insert an Online Image
- If an image is available online (e.g. - has a web address where it can be viewed over the Internet), copy the URL (web address). Using an online image has the advantage that if the source image is changed, it will be automatically updated wherever the image is displayed since all locations point back to that originating source.
- Click the Image button in the editor toolbar.
- In the pop-up window, paste the URL inside the corresponding box.
- Click Accept to complete the process and paste the image.
- Review the pasted image.
- Make adjustments to the image's properties, including size, alignment, and Alt text, by clicking the image to select it and using the properties menu or sizing handles.
Additional Information
Images are Attachments
Building a policy on PolicyStat is creating a basic web page. For graphics to appear on a web page, they first need to be stored on an Internet server, just as is true for a PDF, spreadsheet, form, or any other attachment.
Requirements for image files
PolicyStat supports uploading images using the .png, .gif, and .jpg formats.
Image files impact page load time
Keep image file size and quantity small to avoid performance issues. Image size can be reduced without impacting resolution or printing quality. Multiple images in a document will also increase page load time.
Adding images to a list
Use a Soft Line Break (Shift+Enter) to create a line of space in the list where the image can be inserted.
Adding images to a table
Create the table and place your cursor in the cell where the image will be inserted.
Removing images
All images must stay attached under the attachments list. If you remove one but leave the image in the document, the image will keep appearing for a time and sometimes for a long time but eventually, it will fail to display.
Images not appearing in the Attachments List
Once an image is inserted into the content of the policy, it will no longer show in the list of attachments when viewing the policy. It will still appear in the list when editing/overriding the policy.
NOTE: PolicyStat will automatically recognize an image file (.png or .jpg) and provide the Insert Image button once the image file is attached in PolicyStat.
If the file is not an image file, such as a PDF, Word file or other file type the Insert Image button will not display.
Click to view these steps in the legacy PolicyStat interface.
