Sign-off Management
A step-by-step guide on how to use sign-off management.
What is Sign-off Management
The reason we added this functionality is several audience members informed us that when they have a new individual that has joined their organization and they want them to sign off on a document the only way this can be completed is if they did a Project. The issue with this was the other individuals that already signed off on a document would have to sign off again as they would be included in the Project workflow. Our clients found this tedious and not as efficient, therefore our team created a "sign off" feature that would allow individuals to add their signature to a document without needing to complete a Project.

How to Add a Sign-off
Once you login to the application navigate to the Set-up Tool and select Sign-off Management.
To assign individuals documents that need to sign-off on a document click on the “Add” button as shown below:
Note: The individuals that are being assigned to sign off on the document must have a digital signature uploaded (Please see the Digital Signature Guide for more information). In addition the documents must also have a committee attached to them.
To complete the set-up follow the steps below:
1. Select the folders that contain the documents you would like to add signatures to.
2. Select the documents you would like to add signatures to.
3. Type the individual's name who you would like to have sign off on the document
4. Customize the due dates for the individuals' signatures.
5. Click Add to complete the set-up
Note: You can also sign off on behalf of an individual(s) if you have authorization and approval. Once you have selected the users you can click on the button "Insert Signatures" in the image below.
Note: You can select multiple folders and documents for sign-offs. You are also able to add multiple individuals to sign off on the documents by typing out each name.
The individuals that need to sign off on the document will get the following email:
Once the audience member that needs to sign off the document logs in they will be directed to the document.
Note: You can also access Sign-off Management from the Document Viewer screen as well.
How to Delete a Sign-off Request
To delete a sign-off request click on the checkbox beside the document and click Delete.
How to Notify an individual about a pending Sign-off Request
To notify an individual a sign-off request must be completed click on the checkbox beside the document and click Notify.
The following screen will appear below and you will be able to select the individuals that you can notify.
