Privileges Definitions in PolicyManager™
This document will assist System Administrators understand Profiles and each privilege under them.
You will find several details with regards to all the privileges that can be assigned to users in Profile Management.
Note that this feature is usually controlled by System Administrators.
Application Specific Privileges
Setup Tools
- Enable User Setup - This icon will allow you to access the User Management Section. This is where you can add users to the System.
- Enable LDAP Management - This icon will allow you to access the LDAP Management Section. This is where you can add users to the System if you are using Active Directory.
- Allow Department Management- This icon will allow you to access the Department & User Group Section.
- Enable Privilege Profile Setup - This icon will allow you to access the Profile Management Section. This is where you can decide to provide certain privileges to a group of users.
- Enable Announcement Management – This will allow the user to create Announcements that are placed on the Homepage and within the application
- Allow Content Management – This privilege will allow the users to access Linked Content Management and to add external resources such as Websites and Images.
Preference Settings
- Enable System Defaults Management – This privilege allows the users to access System Defaults to customize the application to their needs.
- Enable Upload Sources Management – This privilege allows the user to choose different methods to mass upload documents such as via Dropbox.
- Enable User Title Management – This privilege allows the user to add additional titles for their users or remove the ones they are not using
- Enable Email Notification Management – This privilege allows the user to access Email Notifications to control emails for Attestations, Document Review Reminders and Project Tasks.
- Enable System Email Management – This privilege allows the user to access System Emails to controls the emails they will be sent out by the application to users.
- Enable Counter Logic Management – This privilege allows users to access Counter Logic to control the “New”, “Update”, and “iAttest” documents that will display within a specific time period.
- Enable Restriction Management- This privilege will allow the user to lock up the application and will allow them to add IP addresses that can access the application

P&P Module Specific Privileges
- Enable Dashboard
Document Library & Viewer
- General Use Access (Base Access Level) – This privilege will allow the user to view the Documents
- Allow to Download Original Document – This privilege will allow the user to download the original document from the system.
- Allow to Download Document as PDF – This privilege will allow the user to download the document as PDF
- Allow Printing of Documents – This privilege will allow the users to print the document from the application.
- Allow to Email Document Links - This privilege will allow the users to email the document from the application.
- Allow to Print Folder Listing – This privilege will allow the user to print the table of contents
- Allow Viewing of Document History - This privilege will allow the users to view the history of the document from the application.
- Allow to Copy Document Links - This privilege will allow the users to copy links for external content that is linked to the document.
- Enable Document Quick Edit – this feature will allow the users to edit documents online without the participation of other users.
- Allow to View Comments – This will allow the user to view the comments on the Document Viewer Page
- Allow to View & Write Comments – This will allow the user to write the comments on the Document Viewer Page
- Allow Editing of Physical Document – This privilege will allow the user to edit the document online or upload a new version
Reports Access - This privilege will allow the user to access reports within the application
- P&P Reports
Projects & Workflow Access
- Enable Project Creation – This privilege will allow the user to create a brand new or edit a document using the online collaboration tool called Projects.
- Allow to Participate on Projects - This privilege will allow the user to participate in a brand new or edit a document using the online collaboration tool called Projects. Please not they will not be able to create a new document unless they are chosen to participate.
- Allow to View All Projects – This privilege will allow the user to not only view and manipulate their Projects, but other individuals as well.
- Force to Use Workflow Templates – This privilege will force the user to use the predefined workflows that are created for Projects, therefore they cannot create their own.
- Allow to use Download/Upload feature – This feature will allow the user to Download/Upload documents from the user’s local hard drive while they are working on Projects.
- Allow to Download from Project History - This feature will allow the user to download the history from a Project.
- Allow to Open Local Files – This feature will allow the users to open a local file from the user’s computer to upload in the Project – Document Set-up Page.
- Allow to Print Projects – This feature will allow users to print Projects.
- Allow Attestation Setup – This feature will allow the user to access Attestation Set-up
- Allow Content Linkage – This feature will allow the user to access Content Linkage that allows you to link external resources to documents.
Setup Tools
- Allow P&P Document Tree Setup – This privilege will allow the user to access the Document Tree Set-up
- Allow Committee Management – This privilege allows you to access Committee Management
- Enable Find & Replace Function – This will allow the user to access the Find & Replace feature
- Allow P&P Custom Meta Data – This feature will allow the user to access Custom Data is they would like to create additional meta data fields.
- Enable Retired Documents – This feature will allow the user to access the Retired Document Grid
- Enable Tagged Documents - This feature will allow the user to access the Tagged Documents.
Preference Settings
- Enable Anonymous Privilege Setup – This privilege will allow the user to decide what privileges the General/Anonymous Users will have.
- Enable Document Template Setup – This privilege will allow the user to upload a Document Template that can be used when documents are created or updated within the application
- Enable Workflow Template Setup – This feature will allow the user to access Workflow Template. This privilege will allow the user to predefine the workflow a document will go through during the Project process
