What is Profile Management?
Profiles identify the specific privileges that a set of users has within PolicyManager™. Multiple profiles can be created, allowing System Administrators to segment users, and more closely control what features of the system they can access.
When a site is created, the General Access Profile is automatically created (this profile allows users to have read-only access to documents. If you wish to allow the General Users to have more privileges you will be able to do so by managing this profile and adding more privileges.)
Additional profiles can be created at any time, and the existing profile can also be modified.

Best Practices
It is recommended that an organization has at least 2 profiles: General Users (basic access) and Power Users (with document editing privileges) Profiles. The System administrators will not need to be assign a profile as they are designated as System Administrators once added to the system.
In case you need to create more than the ones recommended, either because you manage a Health System with several facilities or because you have special groups of Power Users, you will be able to use the Profile Management to create and manage them. All assignments of profiles to users are done under User Management.
Creating a Profile
1. Click on the Set-up Tool Icon and select Profile Management.
2. Click on the Add button to create a new profile.
3. The following screen will appear. Complete the Name and Description fields for the new Profile.
4. Scroll through the list and select exactly which privileges this group of users will be able to access.

Managing Profiles
Editing a Profile
At any time after a profile is created, System Administrators can modify/add/remove privileges. Simply access the Profile Management section, and click the name of the Profile you wish to modify.
Deleting a Profile
Profiles with a red box beside them in the Profile List window do not contain any users and can be deleted at any time.
Profiles with a green box do contain users and cannot be deleted.
In the Profile List window, click the check box beside the Profile Name, then click Delete.
