A step-by-step guide to uploading websites, videos, images, and documents that can be linked to your policies, increasing utility for your users. |
What is Linked Content?
The Linked Content Management section of PolicyManager™ allows users to upload websites, videos, images, and other documents to the system. Registered users can then link content directly to policies, increasing utility for users. The following are the types of content that can be linked:
- Web Links – Link websites to policies.
- Videos – Attach videos in MP4 format (Video Size: 960x540)
- Images –Attach images in any format to policies.
- External Documents – Attach documents in PDF, Word or Excel format from your hard drive to policies.
Internal Documents - Attach documents located within the PolicyManager software to other policies.
This guide covers the following information:
Adding New Content
1. Log in on the home page with your username and password. In order to proceed, you must be a registered user with Admin privileges.
2. Once logged in, hover your mouse over the Setup icon at the top of the window, and click Linked Content Management.
3. On the left-hand side of the screen, options for Web Links, Videos, Documents, and Images appear.
4. Click the type of content that you would like to upload. Click Add.
5. One of the following screens will appear, depending on the type of content you are uploading. Complete the fields. Fields with a star are required, and the others are optional.
Ø For Web Links, copy and paste the URL into the URL field.
Ø Click Test URL to be sure that the link is functional.
Ø For Videos, Images, and External Documents, click Browse to locate the file on your computer.
Ø Videos should be in MP4 format (Video Size: 960x540)
Tip! Internal Document Content Linkages do not require setup.
6. Click Save (Weblink, Image Video, or Document).
Deleting uploaded content
1. Hover your mouse over the Setup icon and click Linked Content Management.
2. On the left-hand side of the screen, options for Web Links, Videos, Documents, and Images appear.
3. Click the type of content that you would like to delete.
4. Select the check box beside the content that you would like to delete. Click Delete.
5. A pop-up will appear confirming your choice. Click OK.
How to download items from Linked Content Management.
The steps will vary based on the type of content being downloaded. Unfortunately, you cannot mass download your content library.
Videos:
Please note this will ONLY work for videos uploaded in MP4.
- Under Setup tools, click on ‘Linked Content Management.’ Once there, click on ‘Videos’ on the left-hand tab.
- Select video and click on ‘View video.’
- Click on the Video options.
- Click on ‘Download’
Documents:
- Same as step number one in the Videos section. Only this time, Click on the ‘Documents’ instead.
- Find and select your intended document and click on ‘Current Document’

This next step will vary based on the file format of the document in question.
- Word/Excel files: This will open up a copy of the document on your local computer in its corresponding application. From there, you’ll need to click on file -> Save As -> and hit save. Please be sure to rename the file to something easy to find.

PDF files: will open up in a new tab in your browser. You would need to save them using the Save icon found in your browser’s built-in PDF viewer.

- Once downloaded, you will need to rename them as you would with Office files.
- Same as step number one in the Videos section. Only this time Click on the ‘Images’ instead.
- Find and select your intended document and click on ‘View Image.’
- Once the Image opens, Right-click the image and select ‘Save Image as’
