Issue/Objective
How to access documents in PolicyManager if the application is down.
Procedure/Resolution
There may be some unique situations where users may not be able to access documents within the PolicyManager application. In these situations our clients have the following options:
1. No Power in the Entire Building
Our community of members have IPAD or Mobile-Tablets that they can power on. They access the PolicyManager application by typing the URL within the Google Chrome Browser (e.g. https://hospitalabc.policymedical.net). This will allow members to view the documents in PolicyManager if there was an unexpected visit or spot check. This will work in you turn on Anonymous Access. To ensure that the application is not open to the entire public we can restrict the application to certain public IP addresses. This will allow the user to view the documents without logging into PolicyManager, but not edit them.
2. Back-up Offline Module
Our application has an SFTP module that will allow users to access the PolicyManager system when our servers are down. This backup is completed automatically on a daily basis at 2:00 am EST. They will be able to view and download the documents. To access the backup you would need to use an FTP program such as FileZilla.
Backed up files are provided in their original file format.
3. No Internet Connection
Our community of members back up all the documents on a USB stick or Hard Drive from the SFTP above. Therefore if the internet connection goes down they can plug this device into a computer and access their documents.
How to access your documents via SFTP:
How to use FileZilla FTP client
Once you have the FileZilla client downloaded and activated on your computer, open FileZilla. Then enter the host, username and the password. This information is provided in the email sent to you by the PolicyMedical team. The SFTP port is 22. You will need to fill this information.
Click Quickconnect and the file listing will appear. Find the www (it is a symbolic link to public_html) directory and double-click on it.
Then, select the files to be uploaded and drag-and-drop them under the folder. Wait for the transfer to be completed.
