Editing a document using projects
Full Edit will allow the user to update an existing policy using Projects. Quick Edit will allow the user to bypass the workflow collaboration tool of Projects and update a policy without any assistance for their colleagues.
1. Log in on the home page with your username and password. In order to proceed, you must be a Registered User with Project privileges.
2. Click the Main icon to access the P&P Library
3. Navigate the P&P library to locate the policy that you would like to edit. Click the name of a policy to open it.
4. The following screen will appear. Click Full Edit in the top right corner of the screen. Note: Quick edit allows you to edit policies without going through the Projects process.
5. The following Project window will appear. Navigate through the tabs to create the project. Please note that when the users view the Document Set-up tab in Projects they will be provided with 2 options for editing a document.
Project Tab: This is the meta details of the document eg. Name, Last Review Date, Next Review etc
Workflow Tab: Under this tab, you set up the users that will help author, review and approve the document.
Note: The reviewer can only add comments, they cannot modify the document
Document Tab: You can edit or upload a new version of the document that individuals in the Workflow tab will be able to assist in updating
a. Edit Online: This feature will allow users to continue to edit documents within the PolicyManager 6 application as long as the format of the document is doc.,docx, xls., xlsx.
b. Use Download/Upload Feature: This feature will allow users to upload/download documents within the PolicyManager 6 application that are in PDF format.
* Please note that tracking changes is not built into PolicyManager, but it is available through your Microsoft Office when it's pulled up during edit online.
Project Summary Tab: You can review your project before you start it and send it out to your colleagues included in the workflow
How to view Currently Published version while Editing in Projects
Go to Projects
Navigate to your intended project. Click on the document tab, and select edit online.
While the Editor is open
While the online editor open click on 'Currently Published Version', once that's done minimize the editor screen. In the URL bar click on the red icon that appears.
Enable pop-ups
When you click on that icon, please allow pop-ups coming from PolicyManager.
The Currently Published version will appear in a new window in your browser.
