As an Administrator it is possible to make changes to how Approvals behave. Navigate to -> Configuration -> Workflows -> Configuration
The usage of each of the approval settings is described in the table below:
| Setting | Usage |
|---|---|
| Enable Workflow Definition by entity type? | Select which entities Workflow can apply to. Leaving all unchecked disables Workflow. Diabling does not delete existing data—records are restored when re-enabled. Email links won’t work while Workflow feature is off. You must remove references to the entity in Reports, Views, and Templates before switching off. |
| Enable approval status by Type | Select which entities that require to have an Approval status value in addition to the Workflow status displayed on the top right of the entity screen. |
| Should Approval Activity be visible to those not in the Workflow | If set to Yes, users who are not approvers, submitters, or admins can still view Workflow Activity in read‑only mode via the [...] menu. |
| Allow Self Approval if User is an administrator | If Yes, admin users may self‑approve contracts when no rules apply. Approval option appears under [...] menu. If No, no self‑approval option is shown. |
| Only Approved Contracts can be sent for Electronic Signature | If Yes, only contracts with an Approval status of Complete (Approved) can use electronic the signature functionality. |
| Open activity by default when entity is viewed | If Yes, the Workflow Activity screen automatically opens when a record is accessed. If No, user must click the [Workflow Activity] button. |
| Auto change Approval status to pending when… | Choose what triggers a previously approved/rejected contract to revert to Pending: changes to contract header fields and/or changes to sub‑entities (documents, reminders, KPIs, linked people, etc.). |
| Approval Portal Enabled | If Yes, users clicking email approval links see a summary portal with Approve/Reject options and a Review link to open the contract inside IntelligentContract. |
| Buttons on Approval Notifications require User to login | If Yes, users must log in before reviewing or approving via email links—improves security. If No, they can review summary data and approve/reject without login—more convenient but less secure. |
| Confirmation required | If Yes, a confirmation step appears when approving/rejecting. Can enable for Approve and/or Reject/Cancel. If both are ticked, a generic confirmation message must be used for all actions. |
| Confirmation dialog title | Title text displayed on the confirmation screen. |
| Confirmation dialog text | The message or disclaimer shown in the confirmation dialog. |
| User must check confirmation box | If Yes, user must tick a box to confirm approval. |
| Days to wait before sending Approval notification again | Number of days before the system re‑sends approval reminder notifications. Minimum is 1 day. |
| Number of hours between Approval notifications sent to users | Minimum number of hours that must pass before the submitter (or an admin) can manually send another notification to the assigned approver. |
The Workflow Action form can also be set to open as a full screen for rather than a pop up when the record is accessed via a sub tab.
Navigate to: Configuration => Form Layouts
Click on the arrow at the end of the tabs to view more tab options, at the end there will be an 'Workflow Action' option, click here to see the form.
You will not be able to change anything about the layout of the screen but you will see the 'Form options' tick-box. By default this option is ticked so when a record is opened from a sub tab it is shown as a pop up.
If you wish the form to open full screen then untick the checkbox and press [Save].
