This article details how to initiate a SmartExtract request and outlines the steps to process once created.
Creating a SmartExtract Request
SmartExtract can be triggered from two areas:
Library - Single Document Extract
Navigate to: Library => Shared Area => SmartExtract folder
- Click on the required SmartExtract folder to view all the uploaded documents
- Hover to the left of a Library record and a [...] icon will appear
- Click on the icon and select 'SmartExtract'
Contract Summary Screen
Navigate to: Contracts
- Click on the [New] drop down
- Select the option 'New [SmartExtract]'
Once SmartExtract has been clicked a pop up will appear for you to define the required Extraction.
- SmartExtract template - Select the correct template SmartExtract is to use from the drop down
- The field underneath will display the Contract Types that are included in the selected template to help you choose the correct template.
- Create Document - If ticked then the document will be added to the new Contract record as a Contract document record
- Delete file from library after extraction - This will remove the Library Document record from its origin folder in the Library
- This will only happen if a new Contract record is created after the SmartExtract process has completed
- This option will only appear if SmartExtract is triggered via the Library
Adjust the popup to your requirements and press [Extract Values]
The screen will update to display a processing message:
If there are multiple documents awaiting processing then the message inform you that you are in a queue for processing.
You have the option to either remain in the screen and wait for the review to complete or to leave the screen and wait for the processing to finish.
Once your document has been reviewed a notification will appear in the Notification area
If you have left the screen then you can click this notification message to open up SmartExtract and process your request.
