Anytime a user with responsibilities is away for an extended period, another user can be assigned to proxy that user to ensure things don't come to a complete halt in their absence.
It is unlikely that someone will suddenly find themselves in a role with far more permissions than their own, but anyone can be assigned as a proxy by a Site Administrator. There are no restrictions around who can proxy for whom, so an policy Owner may need to step-in for an Area Manager, a senior team member may need to cover as an Approver for a time, or the like.
Watch the video to learn what a proxy is, who assigns one, and what roles and responsibilities a proxy takes on.
Proxied User Access
The user who is being proxied may still require access to view policies during the time the proxy is in place, but without regaining full access to their account. When a proxied user attempts to login with their credentials, they will be met with an error message advising them of the proxy.
The message advises them to contact their Site Administrator to remove the proxy. However, they can use the link within the message to access your Policy Management site as a guest to search and view policies.
Proxied Users and Approval Workflows
When a proxied user is a member of an approval workflow, they will still receive notifications on their account and via our weekly notification emails.
Their name will remain on whichever step(s) in the workflow they are designated as an approver. The user serving as their proxy will also receive the same email notifications for the proxied account, but must log in as the proxied user to see and approve documents on their behalf.
