Since every Policy Management library is a website, you can reach it any of the ways you would any other site. While manually typing something like www.your-facility.policystat.com into the address bar is possible, most organizations provide quick access to their policy site using shortcuts, hyperlinks, or even desktop icons.
Regardless of how your organization directs you to the site, every route is meant to allow for quick and easy access to your document library.
Common ways of accessing your site include:
A hyperlink on your intranet
Your web browser's home page
A bookmark on your web browser
An icon on your device's desktop
Login required … usually.
Once you reach your Policy Management site, one of two things is likely to happen. First, you may be prompted with a login screen (pictured below) that prompts for a username and password. Using your assigned credentials, you can login and access your site.
Alternatively, you may instead notice that the site begins to process an automatic login without entering login credentials or you may be directed to a new page to enter your local system credentials. In either of these cases, your system was configured with an SSO (single sign-on) integration meaning your organization account is directly connected to the RLDatix system and used to log you in.
When a login isn't required
Sometimes, users simply need to be able to access a document library or reference a single policy. There's no need determine who is accessing the site because they don't require any special permissions on the site.
Users who access content without logging-in are known as "Guests." Special links can be created by site administrators to allow access to all the documents in a library without needing an account (Global Guest Access link) or to a specific policy (Read-only link).
Guest users accessing a site via a Global Guest Access link can search, view, and share policies like any other user, but can never access restricted documents or any feature that requires elevated permissions.
If you see the Log In option in the top-right corner instead of your name, then you are accessing as a Guest and cannot complete any assign tasks or responsibilities.
Users with responsibilities on a site MUST login to access content with elevated permissions.
Users can access RLDatix Policy Management with a personal account or as a generic Guest user. Now that you know how to reach your site, we'll look at how to find and access particular documents within the library.
